This policy explains how Deploy IT Services LLC (“Deploy IT”, “we”, “us”) collects, uses and protects personal information through our website, services and software platforms.
Mobile numbers and text messaging: we do not sell, rent or share mobile numbers or text messaging consent with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are never shared with any third parties.
Information we collect
When you contact us or use our website
- Contact details you give us, such as your name, email address, phone number and company
- Basic technical information, such as browser type and pages visited, used to keep the site working and secure
When a business uses our platforms
Our Referral Outreach platform is used by businesses to contact and schedule people they serve. For those businesses we process information such as names, contact details, dates of birth used to confirm identity, referral details, messages, call records, call recordings and transcripts, and appointment details. We handle this information on the business’s behalf and under its instructions, as its service provider. Where we process information for a business, our agreement with that business governs, and that business’s own privacy notice also applies.
How we use information
- To provide, operate and support our services and platforms
- To send scheduling messages, confirmations and reminders on behalf of the businesses we serve
- To confirm identity before showing anyone their scheduling details
- To respond to questions and support requests
- To keep our services secure, prevent misuse and meet legal obligations
We do not sell personal information, and we do not use information processed for a business for our own marketing.
How we share information
We share information only as needed to run our services:
- With the business you are scheduling with, which provided or requested the contact
- With service providers who host our systems, deliver messages and calls, or provide automated calling, transcription and AI processing for us, under contracts that limit their use of the information to providing that service
- When required by law, or to protect the rights, safety and security of people and our services
We never share mobile numbers or text messaging consent with third parties or affiliates for their marketing or promotional purposes.
Text messages
If you receive text messages or automated calls from a business through our platform, you can reply STOP at any time to opt out, or HELP for help. Message and data rates may apply. See our SMS and Automated Call Terms.
How we protect information
- Encrypted connections (HTTPS) for our website and platforms, and encrypted storage with our hosting providers
- On our Referral Outreach platform: access limited by role, an activity log of views and changes, secure links that expire, and an identity check before scheduling details are shown
No system is perfectly secure, but we work to protect information using safeguards appropriate to its sensitivity.
Our website, cookies and tracking
Our website does not use advertising or tracking cookies, and we do not sell or share website visitor information for advertising. Like most websites, our hosting provider keeps basic server logs (such as IP address, browser type and pages requested) for security and reliability. Our pages load fonts from Google Fonts, which receives your IP address when the font files are requested. Our staff portal stores a sign-in token in your browser so you stay signed in; it is not used for tracking.
Our website does not respond to “Do Not Track” browser signals, because it does not track visitors across sites.
How long we keep information
We keep information only as long as needed for the purposes above, or as long as the business we serve instructs or the law requires, then delete or de-identify it.
Your choices
- Opt out of text messages at any time by replying STOP
- Ask us what information we hold about you, or ask us to correct or delete it, by emailing info@deployit.org. If we hold it on behalf of a business, we will pass your request to that business.
Children
Our website and services are not directed to children under 13, and we do not knowingly collect their information through our website.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
